What Is a Time Card Calculator?
A time card calculator is an online tool that totals the hours you work each day and each week. It subtracts unpaid breaks, handles overnight shifts, and can estimate weekly overtime and gross pay based on an hourly rate. Employees, freelancers, and small business owners use time card calculators to prepare accurate timesheets for payroll without manual math errors.
How to Use This Time Card Calculator
- Pick your week: Use the arrows or the date picker to select the week starting date.
- Enter your times: Fill in Clock In and Clock Out for each day using AM/PM time.
- Add break minutes: Enter the total unpaid break time (in minutes) for each day.
- Add extra shifts if needed: Use the "+ Shift" button for multiple shifts in one day.
- Set overtime threshold: Default is 40 hours per week. Change it if your workplace uses a different rule.
- Enable pay calculator (optional): Enter your hourly rate and overtime multiplier to see an estimated gross pay.
- Export your time card: Download as PDF, CSV, or print a paper copy.
How Are Total Hours Calculated?
For each shift, the calculator uses this formula:
- Shift duration = Clock Out − Clock In
- Overnight shifts = If Clock Out is earlier than Clock In, 24 hours are added automatically.
- Paid hours = Shift duration − Break minutes
- Weekly total = Sum of all paid hours for Monday through Sunday
Results are shown in both hours-and-minutes format (e.g., 7h 30m) and decimal hours (e.g., 7.50) so you can use whichever format your payroll system requires.
How Is Overtime Pay Estimated?
This calculator uses weekly overtime by default. Any hours worked beyond your configured weekly threshold (default 40 hours) are counted as overtime. The formulas used are:
- Regular Pay = Regular Hours × Hourly Rate
- Overtime Pay = Overtime Hours × Hourly Rate × OT Multiplier
- Estimated Gross Pay = Regular Pay + Overtime Pay
This is an estimate of gross pay before taxes, benefits, and other payroll deductions. Overtime rules vary by state and by employment type. This tool does not determine legal overtime eligibility.
